Conference Table Comprehensive Guide

By Kirstie Anne Berzanski, Principal Pacific Ergonomics

When you’re furnishing a conference room, conference tables are a key element. They need to be the right size, shape, and style for the room, as well as comfortable for everyone sitting around them. Choosing the ideal conference table for your conference room can make all the difference in the success of your meetings. In this blog post, we’ll explore what makes a great conference table and how to choose the best one for your needs.

#1. Size Matters When Choosing a Conference Table

When it comes to selecting the perfect conference table for your conference room, size matters. When deciding what size table is ideal for your needs, you must first consider how many people will be using the table at once.

There are two size decisions you need to make for a conference table, length and width. Common width sizes common length sizes are.

Common Depth Sizes:  Standard conference table widths come in 36″, 42″, 44″, 48,” and 54″. Custom tables can be designed for any length needed, but it will be custom. The width is important because if you have a large room with a conference table that is too thin, it will look out of proportion. Or if you have a wide table in a narrow room it will be overpowering.

Common Length Sizes:  Every day sizes of  conference tables can be 72″, 84″, 96″ and 120″. Larger tables can be customized. The length is sometimes referred to as the width which can be confusing, but important to know.

Generally, you should allow a minimum of two feet of space between each person around the table and three to four feet between the wall and the table. This will ensure everyone has enough room to work comfortably and that the conference room is not overcrowded.

  • Additionally, consider if there is enough room for any extra chairs or equipment that may need to be used. To ensure you have the ideal size table for your conference room, use the general guidelines of 2-4 feet of space per person and 3-4 feet between the wall and the conference table.

#2. The Shape Matters of the Conference Room Table

The shape of a conference table is an important consideration when choosing the right one for your conference space. Whichever shape you choose, it’s important to make sure that there is enough room for everyone and that it fits the shape and size of your conference space.

A unique conference table size can add a lot to the space. Customized sizes can be made if needed for unique spaces. It is all possible.

Different shaped conference tables that are available:

Conference Room Table Top Shapes

Rectangular and boat-shaped tables. Chairs are placed along the long sides and sometimes at the ends. End positions may be restricted by the table base or leg style.

Rectangle conference table

U-shaped tables. Chairs on the inside of the U have less space than those on the outside. Interior spacing must account for the curve.

U shaped conference tables

Square tables. All four sides are equal. Spacing is consistent around the entire table. This makes capacity planning more predictable.

Modern Square Conference Table

Round tables. Spacing is determined by the circumference. As diameter increases, the distance between chairs increases proportionally. But the center of the table becomes unusable dead space.

#4. The Base of the Table- Know Thy Foundation

The base of a conference table is an essential factor to consider when selecting the ideal conference table for your space. It’s important to ensure that the base won’t be an obstacle to fit all your conference chairs and allow for collaboration. For example, if the base sticks out in certain areas, it may prevent the addition of extra chairs. Therefore, it’s best to select a base that will accommodate the number of people that you want. The base will also affect the size of chair you chose.

One of the most flexible options is to opt for a central base, which is often more costly but worth it if you need to maximize the space on the table. This way, your conference spaces can easily be reconfigured and all-conference chairs can fit comfortably around the table. Additionally, you can choose from different shapes, materials, and colors to find the perfect look that suits your needs.

#5. Get Edgy- The Edge Increases the Sophistication

When considering the perfect conference table for your space, the edge matters. Several different edges can be applied to a conference table and each of them will create a different look.

  • The standard 3mm edge is the least expensive option and will provide a classic, streamlined look.
  • If you’re looking to upgrade, you can opt for the knife edge or back-painted glass. These options are more expensive, but they will add a more sophisticated look to your conference table. No matter what option you choose, your conference table edge will make all the difference in the overall look of your conference room.
  • Also you can round the corners or have a straight edge. This provides a different look. For example, rounded conference tables exude an inviting atmosphere that is great for encouraging collaboration and communication between meeting attendees. On the other hand, straight edged tables tend to give off a more professional vibe that sets the tone for a formal gathering. Ultimately, choosing between these two options depends on the purpose of your conference room.

Examples of common edge include the following:

In addition to shape, there are several other factors that go into choosing the best conference table edge such as material. Conference tables come with a variety of materials like laminate, wood veneer, metal, granite and even leather that can drastically change the look of your space. Some materials like metal give off an industrial vibe while others like wood veneer may help create an upscale atmosphere. When it comes down to it, there are many things to consider when selecting the ideal conference table edge for your conference room.

#6. Mobility Tables- Need Reconfiguration?

If you require flexibility in your conference space, then you need a mobile conference table that can be reconfigured. This type of table allows for different shapes and sizes to accommodate any number of people or event.

For example, if you have smaller meetings, you can choose to nest the tables, saving space when not in use. Additionally, with a mobile conference table, you can also rearrange the tables to form one large table for larger meetings or events.

This is an example of how two mobile tables can be connected together to review drawings and then moved just as quickly for a meeting after that would need two additional tables.

When purchasing a mobile table, be sure to get the appropriate number of conference chairs to ensure all participants can be accommodated comfortably. Mobile conference tables are perfect for collaboration rooms, as they can be rearranged easily for team activities or brainstorming sessions.

#7. Materials Matter- What Image Do You Want?

The material of the conference table can make all the difference in a professional space. It needs to be able to withstand wear and tear and should fit with the rest of the furniture and décor in the room. There are two main options to consider: laminate or veneer.

Laminate comes in two labeled grades and there are significant nuances and quality depending on the manufacture.  Both of these options have high and low ends of the products, so samples are always advised.

  1. HPL laminate, stands for High pressure laminate. It is more costly and looks better. It is better with stain protection and heat protection for things like hot coffee. It also comes in a wider range of colors and designs. Lastly there are fingerprint resistant laminates available which is particularly nice on the credenza of a conference table.  View Wilson Art HPL options.
  2. TFL, Thermally Fused laminate, is an affordable option that has improved tremendously over the years.  View Wilson art TFL options.

Benefits of The Different Types of Finishes:

  • Laminate:  An affordable and durable material that is easy to clean and maintain. It comes in a variety of colors and styles, so it can easily fit with other conference chairs and conference spaces. High pressure laminate is a great option for a conference table that will last for years.
  • Veneer:  Tables look luxurious and can create an impressive impact on any conference space. However, this type of material is more susceptible to scratches and dents, making it less suitable for collaborative rooms. Veneer also requires more maintenance over time, so it’s important to weigh the pros and cons carefully before making your decision.
  • Paint Powder Coating: Laminates can be powder coated in almost any color to provide a pop of life and interest.
  • Back Painted glass:
  • Quartz: This real finish provide a more modern and contemporary style.  Quartz can provide a great finish that adds a sense of sophistication to any meeting space. You can also get a quartz look with a HPL laminate.
  • Premium Exotic woods: Tables made in materials like walnut or teak bring an extra level of class and style to a collaboration room, although these may require more maintenance and upkeep in order to maintain their appearance over time.

Ultimately, the right material for your conference table depends on your budget, desired look, and expected usage. Laminate is a great option if you need a sturdy table that won’t break the bank, while veneer provides a luxurious look but needs more upkeep. Consider what works best for your office space and make sure to choose a material that matches the other conference chairs and spaces.

#8. Functionality Matters- What is the Purpose of the Meeting Table?

When considering selecting a conference table, it is important to take into account the purpose of the conference space.

  • If your conference room is used for long, all-day meetings, then having a conference table with adjustable chairs is essential to ensure comfort and productivity. There are even adjustable conference tables if people are sitting and standing.
If your conference room is seldom used but still serves as an important image to the company, then choosing a conference table and chairs that are both aesthetically pleasing  should be top priority.

No matter what the purpose of the conference table, having ample space for all meeting attendees is key for collaboration. With this in mind, having a table that will accommodate everyone in the room comfortably should be a major factor when making a selection. Taking the time to select the ideal conference table and chairs will ensure that your conference room is an effective and comfortable space for collaboration and productivity. With the right combination of functionality and aesthetics, you can create an environment that will maximize the potential of any meeting or discussion.

#9. Aesthetics  Matters- Does it Convey Your Company’s Image?

The look and feel of your conference room sets the tone for the collaboration and conversations that take place within it. Therefore, it is important to choose a conference table and chairs that not only offer comfort and practicality but also reflect the company’s style and brand.

An example of a casual, happy cheerful and light conference room.

The same table configured with different colors and materials to look more formal and bold.

That’s why choosing the right design, shape, size, materials and colors for your conference table and chairs is essential. Conference chairs that look attractive together with your table are important in the overall feeling of the room. Whether it’s a traditional mahogany conference table or a modern glass design, choosing the right look and feel will create a professional atmosphere and ensure a successful meeting experience.

#10. The Feeling of Your Conference Room Matters- How are the Acoustics?

When choosing the right conference table for your conference room, it is important to consider the acoustics of the space. If your conference room is located in an area with a lot of outside noise or has high ceilings that could cause echo, doing an acoustic sound meter test may be necessary to ensure the comfort of those inside.

Additionally, depending on the size of your conference space and if it will be used for collaboration or individual work, you will also want to make sure you select conference chairs and tables that provide adequate sound absorption. Your conference furniture should also be arranged in such a way that it encourages collaboration and communication between all participants. With the right conference furniture and sound-dampening techniques, you can create a space that is ideal for productive conversations and creative collaboration.

#11. The Conference Chair Matters- Look at the Back of the Chair

Always select your conference chairs once you have identified which table you will be using- they are a pair. When selecting conference chairs, it is important to consider the size and shape of the room, as well as the aesthetics.

The back of the conference chair should be taken into account, as this is what will be seen in a glass conference room.

Additionally, it is important to ensure that the chairs are not too wide and bulky, in order to accommodate the right number of people at the table. Lastly, when selecting conference chairs, the type of material should be considered; choose one that is easy to clean and maintain, so it looks good for years to come.

#12. Battery Operated Height Adjustable Conference Tables- Do You Have the Application?

If you have long meetings a battery powered height-adjustable sit-stand conference table may be the answer. This enables users to sit and stand throughout the meeting.

The challenge with this solution in the past was power. Unless you had power drilled in the floor you would see the cords. Now you can have height-adjustable conference tables without any cords.

Battery-operated actuators allow for people to adjust their tables easily with the touch of a button. Not only are these types of conference tables great for those marathon conferences but they are also perfect for collaboration rooms or shared spaces that have multiple groups working together at once.  When choosing your conference space, select one that has enough room for both seating and standing options, as well as accommodating extra team members who may join during certain points of discussion or presentation. With the right combination of seating, space, furniture, and technology, your ideal conference room will become reality!

#13. The TV Placement Matters- How are You Zooming?

Determining where you place the tv should be made before selecting the conference table. Also it depends how much you will be using the tv versus talking. There are also small conference room applications where sometimes you use the tv and sometimes you don’t, so you can embed the tv in the case when not needed. Another option for these types of conference spaces is to use mobile carts to bring in the tv on an as-needed basis.

After making a decision about the TV set-up, you need to choose the size of your conference table. It’s important to consider your conference chairs when making this decision as well as ensure that everyone has enough room to work comfortably in your collaboration rooms. A good rule of thumb is to select a table size that will provide two feet of surface space for each participant. This gives each person enough room for materials such as notebooks or laptop computers, as well as allowing for easy movement within the space. Finally, make sure to select a durable material such as wood or steel that will withstand day-to-day wear and tear.

#14. Electrical Considerations of Your Conference Table Matter

When selecting a conference table for your conference room, there are some electrical considerations that need to be taken into account.

  • Chose conference tables that have built-in power outlets, Wi-Fi access points, and space for cords so that all participants in the conference room can connect their devices and recharge them during meetings. Make sure to choose double sided outlets to support both sides of the conference table.

  • For new construction, you may be able to install the power outlets under the carpeting, eliminating the need for drilling through the floor.
  • If you already have carpet in the room, make sure your conference table is able to hide the power cords within its legs, with a cover to hide the cords leading to the outlet. This will help maintain an aesthetically pleasing look to the table, instead of having cords sprawled everywhere.

Having power outlets accessible in the conference room will enable people to collaborate effectively and efficiently, providing a more comfortable environment when having meetings and discussions in conference spaces or collaboration rooms. Having access to power and Wi-Fi will provide additional convenience for the guests who are occupying the conference chairs and tables.
